BOOKING YOUR TOUR
Your itinerary
We will work closely with you to develop your exclusive itinerary so that it reflects your wishes and interests. The itinerary will include the start and end dates of your safari along with all accommodations, activities, and other services in cooperation with independent suppliers.
All information detailed in your itinerary is given to the best of our knowledge and based on the latest information available. We cannot be held liable for modified information from third parties, nor for any obvious typing errors.
Accommodations are based on shared occupancy of a twin or double room, tent, cottage, or banda, with a private bathroom wherever possible. Single rooms may be available with the payment of a supplemental fee, but availability is not always guaranteed.
Before confirming your tour, please inform us of any preferences and special requests, such as medical needs, diet, requirements relating to disabilities, and any other requirements. We will meet the requests if possible, and promptly inform you of any requirements that cannot be met.
In the event that you wish to amend your reservations in any way, we will make the requested adjustment where possible, and will confirm accordingly. We reserve the right to charge an amendment fee relative to the actual costs of the changes, which will be added to the total invoice amount.
We reserve the right to change and adjust the tour schedule, transportation, accommodations, and services indicated in the itinerary in the event of unforeseen circumstances that might occur. Any changes to the itinerary will be communicated to you as soon as possible.
We reserve the right to adjust prices at any time should there be any fluctuation in the exchange rate or increase in the cost of any element of the tour. The company will, however, make every effort to minimize any increases.
WHAT’S INCLUDED; WHAT’S EXCLUDED
When you book a tour with Ntale Safaris, we will give you a complete picture of what services and costs are included in our quote, and what services are your responsibility, so there are no unpleasant surprises. You may be assured that all lodging and activities listed on your itinerary will be covered, unless explicitly stated otherwise.
Our Quote Includes:
- Accommodations and breakfast
- Activities listed in the itinerary
- Park entrance fees and permits
- Ground transportation
- English-speaking drivers and guides
- Bottled water in the vehicle
- Interior flights if indicated in the itinerary
Our Quote Excludes:
- International airfares
- Health and travel insurance and medical expenses
- Visas
- Meals other than breakfast
- Beverages other than water provided in the vehicle
- Personal expenses (laundry, telephone, souvenirs, etc.)
- Gratuities (for drivers, guides, porters, housekeeping, servers, etc.)
- Any activity listed as “optional” in our quote
- Any activities that you book directly with lodges or other vendors
- Accommodations for your arrival before, or departure after, the days covered in your itinerary
PRICING AND PAYMENT
Our Pricing Policy
We understand that a safari trip to Africa is an expensive undertaking. Our objective at Ntale Safaris is to give you the best, most memorable, safari experience possible at a reasonable cost. We cannot guarantee that it will be the cheapest. There are many factors that must be considered when estimating tour costs and we intend to be as transparent as possible about those costs. On your estimate you will see these items:
The cost of Accommodations reflects the actual rates of each lodge. The cost of Activities, such as trekking permits, park entrance fees, community walks, etc., are charged according to the most current Uganda Wildlife Authority schedule. Estimating Mileage and Fuel Costs can be challenging. We do our best, and will always try to stay within budget. Finally, Professional Services include the administrative costs of obtaining permits, transferring funds to your various accommodations, providing an appropriately-sized vehicle, and the services of your Driver/Guide. This person is, without a doubt, the most important determining factor as to whether your safari is a success. We employ very knowledgeable, reliable, and experienced driver/guides, and we pay them at or above the standard daily rate.
How to Make Payment
All tours will be booked and confirmed only upon receipt of a 30% deposit of the basic program rate. For gorilla and chimpanzee tracking permits, a full advance payment of 100% of the permit fee is required in order to make the reservation.
The payment balance is due no later than six weeks (42 days) prior to the start date of the safari unless agreed otherwise. Bookings made within six weeks (42 days) must be paid in full at the time of confirmation.
Payment can be made by bank transfer. We will provide you with the details at the appropriate time. The costs of international bank transfers for both sender and receiver are to be fully paid by the client.
If payment is not received in accordance with the above, Ntale Safaris has the right to cancel the booking.
CANCELLATIONS AND REFUNDS
All cancellation requests must be made in writing and shall be effective as of the date of receipt by Ntale Safaris.
Ntale Safaris reserves the right to deduct all expenses incurred from money paid. The following schedule applies to the basic program rate:
- 60 days or more prior to arrival: 90% refund
- 59 – 32 days prior to arrival: 75% refund
- 31 – 8 days prior to arrival: 25% refund
- 48 hours or less prior to arrival: no refund
Gorilla and chimpanzee tracking permit fees and interior air tickets are 100% non-refundable.
No refunds will be made for any unused services, late arrival, or no-show of any members of the tour.
While on Safari
It is a privilege to see animals in their natural habitat. However, they go about their business without you in mind, so we cannot guarantee that you will see every animal on your list. With the help of experienced drivers and guides, we will do our utmost.
You must be cautious when viewing the animals, and carefully follow instructions given to you by either your tour guide or the wildlife rangers. You must not shout, call out, or otherwise make noise in an effort to attract their attention. You must remain in the vehicle at all times unless your guide or ranger advises you that it is safe to get out.
A gorilla or chimpanzee permit guarantees that you will be able to track the primates, but does not guarantee that the animals will be in plain sight.
While in the protected national parks, you may observe and photograph as you please, but you are not permitted to disturb the natural environment or collect specimens of any kind.
The mode of transport used will be dependent on the number of clients and the route taken, based on the requirements of the chosen itinerary. Every effort will be made to ensure that vehicles are provided in a roadworthy condition, but no liability can be accepted for a puncture, breakdown, damage, or any delay as a result of poor road conditions.
Experienced English-speaking driver/guides are a key part of your tour. The are the only person(s) allowed to drive our vehicles. The driver’s decision on all matters, such as the route taken, is final.
We reserve the right to alter any route or arrangement, to cancel the operation of any scheduled tour, or vary our services in any way in the event of unforeseen circumstances, such as road closures, bad weather, problems with national parks or hotels, and security considerations. In such unusual cases, alternative arrangements will be made as circumstances permit.
We reserve the right to refuse any person from participating in, or continuing, any tour if, in our opinion, or in the opinion of any other person in authority, the person concerned behaves in such a way as to cause or be likely to cause danger, hazard, or inconvenience to any third party, damage to property, or damage to environments and ecosystems. No refunds will be made and Ntale Safaris shall not be liable for expenses incurred as a result of the termination.
TAKING PHOTOGRAPHS
We reserve the right to take photos of individual participants to use for promotion of our company. Any tour member who wishes that their picture not be used must advise the tour guide at the start of the tour.
Just as you would not care to be photographed by tourists as you go about your daily life at home, the same applies here. It can be considered rude and disrespectful. Please be very discreet when taking photos of local people, and try to obtain their consent if possible. If you wish to take a photo of someone, please ask your tour guide to approach the person, and perhaps a small gratuity may be offered.
COMPLAINTS
Ntale Safaris will try to ensure that we exceed expectations in every area of the tour arrangements. However, suggestions are always appreciated in order to keep improving the quality of our service.
Complaints must be reported immediately to the Ntale Safaris representative and to the supplier of the service in question. We will do our best to resolve the matter. If the complaint is not resolved to your satisfaction, the complaint should be reported in writing and not later than 30 days after the completion of the tour.
Liability for any complaints not notified in accordance with the above-described procedure will not be accepted.
LIABILITY
Ntale Safaris will make every effort to ensure that all arrangements and services offered as part of your safari are carried out as specified in the most efficient way possible. However, the company does not have direct control of the provision of services by suppliers, and, while every supplier is chosen with the utmost care, Ntale Safaris does not accept liability for errors or omissions of such suppliers.
Ntale Safaris shall not be held liable for any loss, damage, or injury of any nature whatsoever whether to person or property.
Ntale Safaris cannot be held responsible for the direct or indirect costs of loss or damage to baggage of personal property.
Ntale Safaris cannot accept liability or pay compensation for unforeseen circumstances beyond the control of the company or its staff, including flight delays/cancellations or force majeure such as war or threats of war, riots, civil disturbances, terrorist acts, border or road closures, acts of government or other authorities, strikes, thefts, epidemics, industrial disputes, natural or nuclear disasters, extreme weather conditions, fire, technical and/or mechanical problems to transport and all similar events beyond the company’s control.
It is your responsibility to ensure that you have the appropriate passport, visa, travel permits, health certificates, and any other documents required for the tour.
Some activities on your itinerary carry with them the intrinsic risk of personal injury. These activities include, but are not limited to, gorilla and chimpanzee tracking, walking tours, and canoe/boat rides. Such involvement in these activities will be at your own risk, and we assume no responsibility for your safety.
It is your responsibility to take proper medical and practical precautions in regard to health and safety. Medical advice should be sought well before traveling.
You are strongly advised to obtain comprehensive travel insurance before traveling. Local evacuation coverage is available through AMREF Flying Doctors in the unlikely event of a medical emergency while on safari with Ntale Safaris.
The laws of the respective country govern Ntale Safaris’ liability to passengers carried within its own vehicles. All claims are subject to the jurisdiction of the country in which the cause of action arises.
